Preparing to notify your employer about pregnancy

A calm preparation checklist for timing, evidence, immediate work questions and a useful written record.

Pregnancy notification can feel like one announcement, but it often starts several practical processes. In Germany, the employer needs relevant information to apply maternity protections and assess workplace risks. Your own sequence should be deliberate, especially if duties involve lifting, hazardous substances, night work or other conditions needing prompt review.

Prepare the core facts

Record the expected birth date as communicated by your health professional, your normal working pattern and the person or channel designated for personnel notices. Decide whether you want an initial conversation followed immediately by written confirmation, or a written notice first.

Keep the message factual. You do not need to turn it into a medical history. If the employer requests evidence of the expected date, ask how it should be provided and who will have access.

Separate three conversations

Notification, workplace risk assessment and future parental-leave plans are related but not identical. You may not yet know what Elternzeit you will request. Avoid creating certainty where there is none; instead, confirm the immediate maternity-protection steps and ask when later planning should take place.

Keep a reliable record

Retain the notice, delivery confirmation and substantive replies. After a verbal discussion, a short email can record the agreed next actions without sounding adversarial. If dismissal, discrimination or an urgent deadline is involved, seek a German employment lawyer promptly rather than relying on a general consultation.
